Photohawk provides a range of email templates that help you communicate smoothly and professionally with your customers. These templates are designed to automate your workflow, keep your customers informed, and ensure a consistent experience across every gallery.

Each template can be edited and personalised so it reflects your brand and tone of voice. You can customise:

  • Subject line

  • Title

  • Body text

  • Colours (available on selected templates to match your Theme)

Every email also includes default text, which is automatically populated using your account name, gallery name, or order details — making them feel personalised even before you make any edits.


Available Email Templates

1. Subscription Confirmation

These emails are sent to customers who subscribe to your gallery. They confirm the subscription and let your audience know they’ll be notified as soon as you publish the gallery. This is useful for events where photos are uploaded after the race, ensuring customers don’t miss out.


2. Photos Ready Notification

Once your gallery is published, Photohawk automatically sends this email to everyone who subscribed. It tells customers the photos are now live and provides a direct link to the gallery so they can start browsing and purchasing immediately.


3. Download Order Confirmation

This email is sent when a customer purchases digital downloads.
It includes:

  • Their download link

  • Instructions on accessing their photos, videos, or reels

This email ensures customers receive their files instantly and securely.


4. Print Order Confirmation (From Print Lab)

These emails are sent when a print order is placed using Photohawk’s integrated print lab. They include:

  • Order confirmation

  • Order reference number

  • Shipping expectations

  • Support email address

This keeps the customer informed while the lab prepares and dispatches the print.


5. Print Order Confirmation (Self-Fulfilled)

If you choose to fulfil print orders yourself, customers will receive this version instead. It confirms the order and lets customers know the prints will be handled and shipped directly by you, rather than by our connected lab. They include:

  • Order confirmation

  • Order reference number

  • Shipping expectations

  • Support email address
