Order fulfilment: who is responsible?

When selling through Photohawk, you can choose who fulfils your orders. This setting determines who is responsible for delivering the product and supporting the customer after checkout.

Understanding this clearly helps avoid confusion and ensures a smooth experience for both you and your customers.


What fulfilment options are available?

Photohawk offers two fulfilment options:

  • Photohawk (default)

  • Member (Self-Fulfilled)

You select the fulfilment method when configuring your gallery or product list.


What happens when Photohawk fulfils the order?

When Photohawk fulfilment is selected:

  • Customers place and pay for their orders through the Photohawk platform

  • Customers automatically receive an order confirmation email

  • Digital order are automatically delivered using the selected delivery method (e.g. email or WhatsApp)

  • Print products are produced and shipped by Photohawk’s integrated lab partners within 3-5 working days

This is the most common setup and requires the least manual involvement from you.


What does “Member (Self-Fulfilled)” mean?

When Member (Self-Fulfilled) is selected:

  • Customers place and pay for their orders through the Photohawk platform

  • Customers automatically receive an order confirmation email

  • Customers automatically receive an email confirming their order is fulfilled by the photohawk member.

  • You are fully responsible for producing the product

  • You handle delivery to the customer

A warning message is shown during setup to confirm that you accept full responsibility for fulfilment.

This option is commonly used for:

  • Custom or speciality products

  • Items not offered by Photohawk’s print labs

  • In-person services or bespoke work
