How to delete all photos associated with a bib number

Updated over 4 months ago

This guide explains how to quickly locate and delete all photos associated with a specific bib number in the Photohawk gallery. This method is useful when handling participant removal requests, GDPR deletions, or correcting upload errors.

Important: Deleting via this method will remove all photos connected to that bib number, including images where the participant appears with other event attendees. Deleted photos cannot be recovered unless previously backed up.

1. Open the Gallery

Navigate to the event gallery where the participant’s photos are stored.

2. Search by Bib Number

  • Use the gallery search bar.

  • Enter the participant’s bib number.

  • A selection of photos will appear based on the bib match.

3. Identify All Related Photos

  • Open any photo from the search results.

  • Click the face icon located at the top-right corner of the image relating to the bib number.

  • This will display all photos where the face/bib has been identified across the gallery.

4. Select All Photos

  • Click “Select all” to highlight every associated image.

5. Apply an Action to the Selection

  • Choose “With selection…” from the menu options (top right).

6. Delete the Photos

  • Select “Delete”.

  • Confirm the deletion when prompted.

Important Notes

  • Photos containing multiple people will still be deleted if the selected participant appears in them.

  • Ensure you have clear confirmation (solo or all) from the client before completing a full deletion.

  • If only specific photos need to be removed, select as required and then delete via the same method. "with selection" & "Delete".

Best Practices

  • Double-check the bib number before performing the deletion.

  • Inform the requester (customer or event organiser) that multi-person photos will also be removed.
