How to publish, archive & delete galleries

This guide walks you through how to publish, delete, or archive a gallery directly from your Photos page.

Accessing the Gallery Menu

  1. Go to your Photos page.

  2. Locate the gallery you’d like to manage.

  3. Click the gallery menu icon (see example below for reference).

This menu (three dots top right) provides quick access to key gallery management options.


Gallery Status Options

1. Draft

  • What it means:
    The gallery is still in editing mode.

  • What you can do:
    You can upload photos, adjust settings, and make any necessary changes.

  • Customer visibility:
    Not visible to customers or available for purchase yet.


2. Publish

  • What it means:
    The gallery is now live and available for your customers to view and purchase from.

  • Our recommendation:
    Only publish once all photos are uploaded and the gallery is ready for customer viewing.


3. Archive

  • What it means:
    The gallery is moved to a “spectre” area - keeping your workspace tidy without deleting the gallery.

  • Key features:

    • It will no longer appear in your FTP directories, keeping things clutter-free.

    • The gallery remains fully accessible to both you and your customers.

    • Customers can still view, order, and download as usual - it functions like a normal live gallery.


4. Delete

  • Use with caution!
    Deleting a gallery will permanently remove it from the Photohawk platform.

  • What happens when you delete a gallery:

    • The gallery and all associated photos are permanently deleted and are not stored or recoverable.

    • All analytics and performance data tied to the gallery will be erased.

    • Any orders related to the gallery will be removed from the gallery view but will still be accessible on your global Orders page.
