1. Navigate to the Create Gallery Page
Log in to your Photohawk account.
Go to the Photos tab in your left-hand menu.
Click Create Gallery on the top right of your screen.
You will now see the gallery creation form.
2. Fill Out Your Gallery Details
You'll be asked to complete the following fields (see screenshot example above):
Name
Choose a clear and recognisable name for your gallery — e.g. City Marathon 2025.
Are Your Photos Free to Download?
Select one of the two options:
No, I'm selling digital downloads
Yes, digital downloads are free
If you choose selling, you will be asked to select a Product List.
Product List (Selling Galleries Only)
Choose a pre-created product list for this event, or create a new one.

Category
Choose the category that best matches your event, this can be running, cycling, triathlon etc.
Date
This refers to the date of the event, not the upload date.
Example: If your event took place on November 27th, select that date.
Listing Image
Upload a thumbnail image that will appear as the preview for your gallery in your Photos and Pages areas.
This is what customers and members will see first when browsing your galleries.
Status (Draft or Published)
You can choose:
Draft – Gallery is saved but not visible to customers
Publish – Gallery becomes public and available to view
If you’re unsure which to choose, read: Draft vs. published mode.
3. Create the Gallery
Once all fields are complete, click Create at the bottom-right of the form.
Your gallery will be automatically generated and appear on your Photos page.
4. Managing Your New Gallery
On your Photos page, you will now see your new gallery thumbnail.
Quick Actions (Under the Thumbnail)
Under each gallery thumbnail you’ll see shortcuts:
Open – View your gallery workspace
Upload – Upload photos directly
Preview – View your gallery as your customers will see it
More Options (Ellipsis Menu)
Click the three-dot menu (top right of the thumbnail). You’ll see:
Publish – Make the gallery live
View Orders – See customer orders linked to this gallery
Manage Products – Edit the product list for this specific gallery
Upload Photos – Upload images
Settings – Edit gallery name, date, category, listing image and more
Make a Copy – Duplicate this gallery
Delete – Permanently remove the gallery
Archive – Hide the gallery without deleting it
Each option gives you control over how your gallery behaves and appears.
5. Uploading Your Photos
Once your gallery is created, you can upload your images immediately.
