How to check how many times a coupon has been used

If you've created a coupon that can be used multiple times (for example, a discount code or a free photo coupon), you can track how many times it has been redeemed by exporting your orders.

This is useful for:

  • Discount codes

  • Free photo coupons

  • Any coupon that isn't restricted to a single use

How to Export Your Orders

  1. Log in to your Photohawk account.

  2. Navigate to Sales > Orders.

  3. The Orders page displays all orders across all of your galleries.

  4. In the top-right corner of the page, you'll see two download icons:

    • Download Summary CSV

    • Download Details CSV (one row per item)

For checking coupon usage, the Summary CSV is usually all you need.

Search for Your Coupon

  1. Open the downloaded CSV file in Microsoft Excel, Apple Numbers, or another spreadsheet application.

  2. Use the Search or Filter function.

  3. Search for your coupon code (for example, SUMMER25).

Every matching row represents an order where that coupon was used.

You can quickly see:

  • How many times the coupon has been redeemed.

  • Which customers used it.

  • Which galleries or orders it was applied to.

  • When it was used.

Example

If you search the exported file for the coupon code:

SUMMER25

and it appears 72 times, the coupon has been redeemed 72 times.

Can I limit how many times a coupon can be used?

Coupons are designed to be reusable unless you restrict them by assigning them to specific customer email addresses. If you need a one-time-use coupon for individual customers, we recommend creating coupons tied to specific email addresses.
