Coupons

The Coupons page allows you to create, manage, and track coupons for your customers. You can create individual coupons, bulk-generate unique codes for participants, or run time-based promotions across your galleries.

Understanding the Coupons Page

When you access the Coupons page, you will see all coupons you have created, organised into four tabs:

  • All – every coupon you’ve created

  • Live – active coupons that are currently valid

  • Redeemed – coupons that have already been used

  • Expired – coupons that have passed their expiry date

Each coupon has a checkbox to the left, allowing you to take bulk actions.


Actions Available

After selecting one or more coupons:

  1. Click With selection

  2. Choose:

    • Resend coupon to customer

    • Delete coupon from your records


Editing a Coupon

To edit an existing coupon:

  • Click the pencil icon on the right side of the coupon

  • This opens the settings where you can adjust:

    • Code

    • Discount amount

    • Limits

    • Expiry date

    • Gallery restrictions


How to Create an Individual Coupon

You can create a single coupon for a specific customer or promotion.

1. Access the Coupons Page

  1. Go to your Photohawk account

  2. Click Sales in the top menu

  3. Select Coupons


2. Click “Create Coupon”

Click the Create Coupon button to open the setup window.


Coupon Settings Explained

Left Side (Coupon Details)

Code
Create a custom code (e.g. PRE-ORDER).
If limiting to specific customers, Photohawk will automatically generate a unique version per customer (e.g. PRE-ORDER-4GH-2EKCW).


Redeemed

  • Set to No when created

  • Automatically updates to Yes once used

  • Can be manually adjusted if needed


Refunded
Update this if an order using the coupon has been refunded.


Type
Choose how the discount is applied:

  • Fixed amount (e.g. £10 off)
    → Common for pre-order packages

  • Percentage (e.g. 10%–20% off)
    → Ideal for time-based promotions


Product Types
Choose what the coupon applies to:

  • All products

  • Digital downloads

  • Prints

  • Videos


Currency & Amount
Set the value of the discount.


Right Side (Rules & Restrictions)

Limit to specific customers
Restrict the coupon to selected individuals.


Limit to specific galleries
Apply the coupon to:

  • Any gallery

  • Or a specific gallery (recommended for events)


Automatically apply at checkout

When enabled, the discount is applied automatically to all customers accessing the gallery.

Common use:

  • “10% off for the first 2 weeks” promotions


Set an expiry date
Useful for:

  • Limited-time offers

  • Race-week promotions

  • Early-bird discounts


Creating Coupons for All Customers (Gallery-Wide Offers)

You can create a single coupon for all visitors to a gallery:

Example:

  • 10% off for the first 2 weeks after an event

  • Automatically applied at checkout

  • Limited to a specific gallery

This is a great way to:

  • Encourage early purchases

  • Drive urgency


Creating Individual Coupons (Without CSV)

You can create coupons for individual customers:

  • Same setup as above

  • Simply assign the coupon to specific customers

  • No CSV upload required


Bulk Creating Coupons (CSV Upload)

This is commonly used for:

  • Pre-orders

  • Event participant lists

  • Race organisers who include photos in ticket sales


How it works:

  1. Go to Create Coupon

  2. Set up your coupon:

    • Code (e.g. PRE-ORDER)

    • Type (fixed or percentage)

    • Amount

    • Max redemptions (usually 1 per customer)

  3. Upload a CSV file including:

    • Email address

    • First name

    • Last name

  4. Select:

    • Limit to specific gallery

    • (Optional) expiry date


Important Notes:

  • Photohawk will generate unique coupon codes for each customer

  • Coupons are stored in the Coupons page

  • Coupons are NOT sent automatically

You must:

  • Select the coupons

  • Click Send to customer


Best Practices

  • Use percentage discounts for general promotions

  • Use fixed amounts for pre-orders

  • Limit coupons to specific galleries to avoid misuse

  • Set redemption limits (usually 1 per person)

  • Use expiry dates to create urgency
