Understanding the Coupons Page
When you access the Coupons page, you will see all coupons you have created, organised into four tabs:
All – every coupon you’ve created
Live – active coupons that are currently valid
Redeemed – coupons that have already been used
Expired – coupons that have passed their expiry date
Each coupon has a checkbox to the left of it, allowing you to take bulk actions.
Actions Available
After selecting one or more coupons using the checkbox:
Click With selection
Then choose:
Resend coupon to customer
Delete coupon from your records
Editing a Coupon
To edit an existing coupon:
Click the pencil icon on the right side of the coupon. This opens the coupon’s settings, where you can adjust all details (code, amount, limits, expiry, etc.)
How to Create an Individual Coupon
You can create coupons one at a time for specific customers, events, or promotions.
In the future, this KB will be updated to include instructions for generating coupons for full participant lists.
1. Access the Coupons Page
Go to your Photohawk account
Click Sales in the top menu
Select Coupons from the dropdown
2. Click “Create Coupon”
On the right-hand side of the page, click the Create Coupon button. A new coupon window will open with all available configuration options.
Coupon Settings Explained
Left Side (Coupon Details)
• Code
Create your own personalised coupon code (e.g. PRE-ORDER). When coupons are created to be specific to a particular email address or gallery our system will automatically personalise the end of the coupon code to make it specific to that customer (e.g PRE-ORDER-4GH-2EKCW).
• Redeemed
Adjust whether the coupon is marked as redeemed. This should be set to No when created and is automatically triggered to change to Yes once redeemed. Alternatively, you can manually change the this by editing the coupon at a later date.
Note: The Photohawk Support Team may change this manually if they have supported a customer with redeeming their coupon.
• Refunded
If you refund an order paid with a coupon, you may update its status here.
• Type
Choose how the discount is applied:
Fixed amount (e.g. £10 off)
This is is patricianly helpful when creating Pre Orders for a fixed amount.
or
Percentage (e.g. 20% off)
Often used as a blanket offer to participants ordering within the first 48 hours/two weeks.
• Product Types
Choose whether the coupon applies to:
All product types
Only digital downloads
Only prints
Only Videos
• Currency
Set the currency used for the discount.
• Amount
Set the discount amount (e.g. 25% or £10).
Right Side (Optional Rules & Restrictions)
• Limit to specific customers
Select individual customers who are allowed to use the coupon. Leave blank for all customers.
• Limit to specific galleries
Choose whether the coupon can be used:
On any gallery
Only on selected gallery
• Automatically apply at checkout
Will automatically apply coupon/discount to anyone accessing that gallery.
• Set an expiry date
Useful for:
Limited-time promotions
Race-week discounts
Pre-order incentives
Once the expiry date passes, the coupon automatically becomes Expired.

The Coupons page allows you to:
Create and customise discount codes
Apply coupons to specific galleries or customers
Track redeemed or expired coupons
Edit or delete existing coupons
Resend coupon emails
