Product lists can be personalised to each gallery or shared across galleries, meaning any changes you make to a list will automatically update every gallery using it.
You can find this area under:
Gallery → Settings → Products
1. Selecting a Product List
When setting up your gallery, you will see: Select product list, you can choose one of the following:
• Use an existing product list - Select any list you’ve already created.
• Create a new product list - Choose this if you want a unique product list tailored specifically to this event.
If you select an existing list, the Edit Product List button will appear so you can modify it.
2. Editing an Existing Product List
When you click Edit Product List, a pop-up window opens.
Inside this window you can:
Add, remove, or modify products
Adjust pricing
Change fulfilment options
Update resolution or product descriptions
Enable/disable print or download options
Important:
Any changes you make here will apply to all galleries currently using this product list. If you prefer different pricing or products for this specific gallery, create a new product list instead.
3. Multiple Selfie Searches / Participants in One Cart
You will see an option:
Allow multiple participants in single cart, choose Yes / No
If enabled:
Customers can add photos for multiple bib numbers/selfies into one combined checkout.
If disabled:
Each participant must check out separately.
4. How to Create a New Product List
You can create a new list in two ways:
Option A — Create from Gallery Settings
Go to Gallery → Settings → Products
From the drop down menu below Product list, choose Create product list
Enter:
Product list name
Currency
The new product list will be automatically created and selected
Click Edit product list to begin adding downloads, prints, or videos
Option B — Create from the Sales Area
Go to your Photohawk account
Navigate to Sales → Products (top menu)
Click Create product list
Name your list and choose your currency
Add products as needed
This method is useful for preparing product lists before creating new galleries.
5. Adding Products to Your Product List
Once inside you can create and your product list, you will see three product types:
A. Downloads
Select Create download product.
You can configure:
• Name
Customer-facing product name.
• Description (optional)
• Display product as a feature banner
Shows this product as a promotional banner at the top of the gallery.
• Display as an add-on at checkout
Appears as a suggested product when customers are completing their order.
• Preordering
Enable if you want to offer a discounted price before the event before the gallery is published.
Set Standard price (full price)
Set Pre-order price (reduced price)
Pricing model: Standard or Volume (recommended)
• Listing image
Upload a thumbnail image for the product.
• Branding watermarks
Enable or disable watermarking for this product type.
• Resolution
Controls output image size that your customers will receive.
0 = Original resolution (photo delivered exactly as uploaded)
Or specify a pixel size (e.g., 3000px on longest edge recommended for high-res)
• Fulfilment
Choose who fulfils the product:
Photohawk (default)
Member (self-fulfilled) — includes a warning to confirm responsibility
B. Prints
Print products follow similar settings to downloads but with print-specific options:
Prints Fulfilled by Photohawk’s Integrated Lab
Select a print product from the list (sizes, formats, finishes)
View the wholesale cost
Set your retail price (standard or volume)
Cropping tool is included so customers can adjust framing before checkout
Self-Fulfilled Prints
If you choose to fulfil prints yourself:
You can enter custom width and height
Customers will still use the cropping tool
You will manage printing and delivery independently
C. Videos
Video products follow the same structure as download products, allowing you to:
Name and describe the product
Set pricing or pre-order pricing
Enable/disable branding
Choose fulfilment
Set resolution options where applicable

The Products section allows you to:
Use existing product lists

Product lists are central to controlling how you monetise your galleries and what options your customers can buy.
