How do I invite a user to my Photohawk account?

You can invite photographers (or other team members) to your Photohawk account so they can upload photos, view sales, or help manage galleries — depending on the role you assign.


Step 1: Access your Users settings

  1. Log in to your Photohawk account

  2. Open the Account dropdown menu (top right)

  3. Select Users

Here you’ll see a list of all current users on your account and their assigned roles.


Step 2: Invite a new user

  1. Click the Invite User button

  2. Enter the following details:

    • Email address

    • First name

    • Last name

  3. Choose a Role for the user (see role descriptions below)


User roles explained

When inviting a user, you can assign one of the following roles:

  • Owner
    Full access to the organisation, including billing management

  • Administrator
    Full access to the account except billing management

  • Photographer
    Can upload photos into galleries only

  • Sales Person
    Access sales information only


Step 3: Choose gallery access

Next, select which galleries the user should have access to:

  • All galleries, or

  • Specific galleries only (select from the dropdown)

This is useful if photographers are only working on certain events.


Step 4: Send the invite

  1. Click Invite

  2. An email invitation will be sent to the user

  3. Their details will appear in your Users dashboard


What does the invited user receive?

The invited user will receive an email similar to the following:

You’ve been invited to access a Photohawk account.

To get started, simply log in within the next 30 days to activate your account and start collaborating.

(Organisation and user details will reflect your account.)

Once they accept the invite and log in, they’ll have access to:

  • Your Photohawk account

  • Only the galleries and permissions you selected for them


Editing or removing a user

At any time, you can manage users directly from the Users dashboard:

  • Locate the user you want to update

  • Click the ellipsis (⋯) in the top-right corner of their user card

  • From here, you can:

    • Edit their role

    • Update their gallery access

    • Remove them as a user

Changes take effect immediately.
